The information below describes how All Saints Church Parochial Church Council (PCC) and Incumbent manage your personal information following the law and your rights. It does not cover every situation, so please read notices on forms, web pages, or other points where you give us information about yourself. These will describe the specific uses we make of the information, the reasons and legal basis for holding it, and your rights. 

Your personal data – what is it?
Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. Information we may hold about you.

This could include:

  • in general, the information you give us when you fill in forms
  • to support you when you use any of our services
  • when you apply for a job or to volunteer with us, including to process applications

How do we process your personal data?

  • For members of the clergy and lay leadership to provide pastoral care to and occasional offices for parishioners
  • For PCC
    • To enable us to provide a voluntary service for the benefit of the public in a particular geographical area as specified in our constitution.
    • To administer membership records.
    • To fundraise and promote the interests of the charity
    • To manage our employees and volunteers
    • To maintain our accounts and records (including processing gift aid applications).
    • To inform you of news, events, activities and services running at All Saint’s Church, Belton.
    • To operate the All Saint’s Church, Belton website and deliver the services individuals have requested.
    • Share your contact details with the diocesan office to keep you informed about news, events, activities and services that will be occurring in the diocese and which are relevant to the role you are undertaking.

What is the legal basis for processing your personal data?

  • Explicit consent of the data subjects to keep you informed about news, events, activities and services and process your gift aid donations and keep you informed about diocesan events.
  • Processing is necessary for carrying out obligations under employment, social security, social protection law, or a collective agreement.
  • Processing is carried out by a not-for-profit body with a religious aim provided:-
    * the process relates only to members or former members (or those who have regular contact with it in connection with those purposes); and
    * there is no disclosure to a third party without consent

What about Website Comments?

When visitors leave comments on the site, we collect the data shown in the comments form and the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves the same way as if the visitor has visited the other website.

Who do we share your data with?

Your personal data will be treated as strictly confidential. It will be shared only with other church members to carry out a service to other church members or for purposes connected with the church. We will only share your data with third parties outside the parish with your consent.

Visitor comments left on the website may be checked through an automated spam detection service.

How long do we retain your data?

We keep data following the guidance set out in the guide “Keep or Bin: Care of Your Parish Records”, which is available from the Church of England Website at: https://www.churchofengland.org/more/libraries-and-archives/records-management-guides
Specifically,

we retain electoral roll data while it is still current;

gift aid declarations and associated paperwork for up to 6 years after the calendar year to which they relate;

records of any children’s activities, youth club registers and related general safety risk assessments for 50 years after the activity ceases;

parish registers (baptisms, marriages, funerals) permanently.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can automatically recognise and approve any follow-up comments instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profiles. All users can see, edit, or delete their personal data (except they cannot change their username). Website administrators can also see and edit that information.

What rights do you have over your data?

  • The right to request a copy of your personal data which the PCC of All Saint’s Church, Belton holds about you;
  • The right to request that the PCC of All Saint’s Church, Belton corrects any personal data if it is found to be inaccurate or out of date;
  • The right to request your personal data is erased where it is no longer necessary for the PCC of All Saint’s Church. Belton to retain such data;
